What Is a Softphone, and How Does It Fit a Business PBX?

A softphone is a calling application, not an internet subscription or a phone system by itself.

Understand the three separate parts

A softphone runs on a supported computer or mobile device and gives the user a calling interface. In a business deployment, it connects to the company phone system; external calling also depends on the appropriate provider and number/trunk arrangement.

The app, the PBX and the calling provider are separate responsibilities. Installing an application does not automatically supply a business number, provider service or every advanced phone-system feature.

Check the working environment

Plan for how people actually work: office desktops, mobile users and headsets. Use the official manual for the selected app rather than a generic setup screenshot.

  • Supported operating system, application version and provisioning approach.
  • Audio devices, microphone permissions and a test of two-way speech.
  • Network access and the difference between office and remote connections.
  • User access, lost-device handling and the agreed support owner.

Diagnose interrupted calls carefully

If sound cuts out, note whether it affects one endpoint, one location or all calls. Compare an approved wired test where practical and check the audio device before changing the entire PBX. Do not disable firewalls or publish administrative ports as a quick fix.

Share the device, app version, time and redacted error with the support owner. AigentZone can assess the softphone, PBX and network requirements together, while keeping provider-dependent work explicit.
